Envision Education is a national model for using Project Based Learning and Performance Assessment to prepare students for success in college and in life. Envision Education currently operates three small high schools and two middle schools. Graduates go on to succeed in college at significantly higher rates than their peers: 99% attend college and 82% persist once they get there.
OUR APPROACH
We believe that deeper learning experiences challenge students to think critically, solve problems resourcefully, and collaborate productively. Students have an opportunity to use these skills and show what they know through portfolio defenses. In 8th, 10th and 12th grade, Envision students present a defense of learning, demonstrating their growth and learning. Similar to a master’s thesis defense, these presentations are required to graduate in 12th grade and are invaluable in preparing for life after high school. They practice for these defenses through regular exhibitions and in-class presentations. POSITION SUMMARY
The Administrator of Payroll and Accounts Payable provides support to Envision Schools, Envision Learning Partners, and the support office to ensure timely and accurate pay and disbursement to employees and vendors, as well as accounting transactions and reporting. In addition to the key responsibilities outlined below, the Administrator effectively maintains organization and prioritizes multiple demands while maintaining a collegial, hands-on, fast-paced work environment; communicates effectively both in written format and oral presentation with a strong customer service and team orientation; and regularly takes initiative and responsibility using strong organizational, research, problem-solving, analytical, communication, and negotiation skills to exceed performance expectations. The Administrator interacts with a variety of stakeholders both internal and external and, attends and participates in finance and cross-functional team meetings and initiatives.
Key Responsibilities:
Payroll Administration:
- Analyze, prepare, and input payroll data into the payroll system including verifying accuracy of figures and computations.
- Compile payroll data such as garnishments, paid time off, health deductions, 403(b) contributions, and STRS retirement contributions.
- Review timesheets from school and Support Office staff for completeness and accuracy; work with supervisors and managers across worksites to ensure the process is efficient and timely.
- Track paid time off, leave balances, and accruals to ensure accuracy
- Contact various department supervisors if needed for non-routine matters related to payroll including stipends, bonuses, overtime, and substitute teachers.
- Input new employee payroll information; track changes.
- Ensure classification of employees is tracked correctly in the payroll system and eligibility for benefits aligns with policy.
- Work with HR to track employee leaves and coordinate pay with other state and organizational benefits that employees may receive.

- Compute final checks for processing mid-year school staff terminations, and year-end terminations including computation of summer holdback reimbursement and reconciliation of flex-benefit and other deductions.

- Pay employees through electronic transfer to bank accounts/direct deposit
- Ensure payroll data is reported accurately to internal and external parties.
- Create and audit payroll reports for internal/external use.
- Act as main point of contact with governmental agencies regarding questions of garnishments, benefits, reports, and census information including the EDD, IRS, and Franchise Tax Board.
- Review Unemployment claims for accuracy and flag inconsistencies for discussion with HR.
- Provide information to employees as requested regarding all pay issues and processes in a supportive manner using clear written and verbal communications.
- Prepare year-end payroll reports, W-2 reports, and Affordable Care Act (ACA) reports
- File quarterly tax reports, pay payroll taxes and prepare annual tax filings.
- Collaborate with finance team members to improve processes that support efficiency.
- Stay abreast of payroll related technical issues and changes.
- Assist in monthly closings including preparing journal entries.
- Reconcile and recommend resolution for report discrepancies and problems.
- Coordinate and prepare pertinent information for external accounting firm and auditors.
- Code data for input to financial systems according to company’s procedures.
Accounts Payable Administration:
- Receive and process invoices, check requests, requests for reimbursement to ensure all organizational obligations are disbursed accurately.
- Code data and record journal entries for input to financial systems according to company’s procedures.
- Prepare weekly check runs and ACH transactions for approval and transmission.
- Collaborate with other team members to ensure invoices for donations and services are processed and recorded accurately.
- Receive, record, and process cash.
- Receive, record, and process credit card reconciliations.
- Prepare balance sheet account reconciliations.
- Prepare and process 1099s.
- Produce other reports as needed to include (but not limited to) general ledger and balance sheets.
- Participate in month-end and year-end closing activities.
- Participate in annual financial auditing
Qualifications

- Commitment to engaging with anti-racist and pro-black ideologies in the workplace
- Understanding of basic accounting methods, practices, procedures, and terminology used to manage payroll and accounts payable processing, including general ledger, tax withholding, voluntary deductions, garnishments, and fringe benefits.
- Solid understanding of federal, state, local tax laws
- 3-5 years directly related experience (G/L, P/R, A/P, A/R).

- Proficient in MS Office software and Google Applications; comfortable learning new technologies and software applications.
- Experience working in the accounting function in an Education or non-profit environment preferred.
- Experience working with multiple counties in processing CalSTRS
COMPENSATION: The starting salary range for this position is $60k – $70k. Salary and benefits are competitive and based on experience.
